Job Summary

    Grants Manager supports in the coordination of the US donor funded grants, reporting and the donor relations. Under the overall supervision of the Grant Management Unit Head, the Grants Manager will perform the following duties as well as other tasks as required to fulfill the role.
    Responsible for planning of grant programs from its application to approval and perform grant research, grant writing, grant program design and compliance and grant reporting. Identify potential grant support from US based donors to meet the financial and operational needs of the organization. Provide clear communication of proper rules and regulations for approving grants, its specifications, requirements and objectives across all departments of the organization and the management.
     

Position Requirements

    • Minimum Education Degree: Bachelor’s degree preferably in Business Management, Education, Social Sciences, International Development
    • Languages: Strong English communication skills (oral and written) - Desirable: Good working knowledge of Arabic (oral and written)
    • A minimum of 4-6 years operational humanitarian experience with minimum of 3 years in a leadership role in USG grants management
    • knowledge of International Human Rights Law, International Humanitarian Law, Refugee Law, the relevant positions of the UN, ICRC and major NGOs on protection of civilians in particular of IDPs, women and children, the codes of conduct, the Humanitarian Charter, The Sphere Project, etc.
    • Strong communication skills with ability to express ideas and concepts clearly and persuasively with senior members of the humanitarian community as well as with field practitioners.

Responsibility

    • Manage all aspects of US based donor relations, including compiling donor reports, responding to the donor’s inquiries and closing the grants
    • Organizing donor visits, meetings, facilitating discussions and preparing meeting minutes
    • Lead project revisions in coordination with Programs, Finance, MEAL and other relevant departments when needed
    • Facilitate monthly Grants Review Sessions to record the progress, needs, challenges and lessons learned.
    • Remain updated on priorities, lessons learned, researches and reports shared at the clusters or by Cluster members and inform the line manager and other relevant units accordingly.
    • Contribute to works of the Media department in development of media contents for the US grants
    • Establish grants filing to archive important documents  
    • Outreach potential donors and partners and be fully acquainted with priorities and strategic direction including researching for grants.
    • Support the organization in developing and reviewing strategic direction through an in-depth analysis of beneficiary needs, donor’s priorities and the global trends.
    • Ensure Grant/Project compliance to humanitarian, organizational and US donor standards
    • Review procurement and monitoring plans
    • Support project team in a manner that encourages cooperation and communication
    • Establish a good communication channel with the donor and conduct follow up and reporting meetings
    • Ensure that all documentation and process match the US donors compliance requirements, especially US Government Regulations (USG)Make sure all documentation & filing system under assigned project are in order
    • Review and finalize monthly, quarterly, semi-annual and final reports  and donor submission
    • Participate in identifying partners, and monitor and maintain relationship with partner
    • Regularly engage with Program/Program Support departments’ staff to ensure uninterrupted information flow in project implementation
    • Coordinate with the Programs to ensure that reporting from the program staff are provided in a timely manner
    • Establish alternative information sharing systems (regular meetings, shared web-engines, etc.)
    • Coordinate with sector specialists to ensure project alignment with technical standards and be practice.
    • Coordinate operations under the project with other NGOs operating in the area of project
    • Conduct weekly/monthly meetings with staff
    • Participate in external coordination meetings when needed
    • Other tasks assigned by Line Manager
